Administrative Assistant

Summary: The Administrative Assistant will provide administrative support to the general organizational operations. Working under the direct supervision of the Executive Director, this position provides all necessary organizational support and is responsible for a variety of other tasks.

Duties and Responsibilities:

  • Basic office responsibilities: faxing, coping, collating, etc…
  • Coordination of Honorariums and Community Asset Toxic Tours (CATTs)
  • Processing of donations and memberships; create and file receipts accordingly
  • Provide assistance as needed with research for products and services
  • Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff.  Oversee Office Assistant with monthly calendar and message/answering machine taking and distribution
  • Assist with review of administrative procedures and development of systems to assure compliance by all staff
  • Maintain inventory for office supplies and computer software
  • Assist with research and cost comparisons for vendors to maintain cost effectiveness and quality, including technology and computer support.
  • Maintain master calendar of in-house meetings.
  • Booking travel and hotel arrangements as needed.
  • Coordinate materials for meetings and training sessions and other activities of the organization
  • Maintain and update membership and tour database as needed
  • Receive and distribute all incoming mailing and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution
  • Assist in preparation of materials for the board of directors
  • Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics)
  • Assist in the updating of the website calendar
  • Maintain Director’s schedule, messages and appointments
  • Follow up with Director through calls, texts and emails

Qualifications:

  • Minimum one year office administrative support experience is preferred.
  • High School Diploma or GED
  • Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
  • Must have basic Computer skills(including Microsoft office suite)
  • Bi-lingual in English and Spanish
  • Fundraising & Marketing experience a plus

Clean Power Organizer

The Little Village Environmental Justice Organization (LVEJO) is seeking a passionate motivated people-person to join our staff as the Clean Power Organizer to close the 2 Coal Power Plants in Chicago, replacing them with green jobs in energy conservation, efficiency and renewable energy through leading public engagement and organizing efforts. As part of LVEJO the position provides high levels of responsibility, flexibility and opportunities for growth. Work with local campaign to develop and carry out actions, work with city wide coalition to carry out actions and develop and maintain support for national actions.

Position Responsibilities:

Lead community outreach and organizing to build and demonstrate broad support for shutting down the Coal Power plants among diverse populations throughout Little Village

  • Continual education, recruitment and mobilizing of community residents, volunteers and leaders through door knocking and local outreach
  • Lead and coordinate outreach events including festival tabling, community presentations, business outreach, and much more
  • Update and enhance our Blog, Facebook pages, and other online presence

Build and strengthen volunteer involvement with recruitment, training, relationship building, and leadership development

  • Coordinate and work closely with current leaders and other volunteers to enhance their effectiveness
  • Recruit, coordinate, and train additional volunteers and student interns
  • Build a strong team of active, involved Clean Power Supporters

Increase membership support and other fundraising
Primary skills / abilities required:

  • Two Years of Community Organizing Experience
  • Volunteer management and leadership development experience
  • Excellent verbal communication skills, including public speaking before large audiences and one-on-one mentoring/facilitation
  • Ability to successfully manage multiple projects and responsibilities with consistent follow-through
  • Quick and thorough learning of complex information
  • Independent and self-motivated, also able to work in teams
  • Comfortable and effective working with diverse people and in diverse settings
  • High School Degree or GED
  • Fluent  in English & Spanish including Reading and Writing
  • Available to work two evenings per week and two weekends per month
  • Culturally Competent

Additional abilities / experience desired (but not required):

  • Knowledge of the Little Village area, urban and metropolitan issues, political advocacy, environmental policy, and national coal campaigns
  • Fundraising, donor development, and grant writing experience
  • Web savvy, including website management, Facebook, email advocacy, and blog

Compensation: Depends on Experience & References
